Most enterprise software assumes you already know the process. Training and documentation live somewhere else, separate from the tool itself, and that gap gets more expensive the moment AI enters the picture, because an assistant is only as useful as the process knowledge it can actually reach.
Eric Christoph breaks down how TMS built its Journey System to close that gap directly inside ProjectXL: reading the current state of a workbook, matching it against where a project actually sits in its lifecycle, and surfacing what's ready, what's blocked, and what needs attention next, without the user having to go hunting for a manual.

PMOs tend to solve a clunky tool problem by buying a more feature-rich one, and Bruno Freitas makes the case that this usually backfires. If a platform is hard to learn or rigid about how teams work, people quietly do the real work elsewhere and copy it into the system late, which breeds duplication, stale data, and leadership that stops trusting the numbers.
Freitas argues the fix is designing around the decisions stakeholders actually need to make, starting from what leadership needs to see and working backward from there.

Don't try to plan every phase of a long project in equal detail up front. Use progressive elaboration (rolling wave planning): schedule the near-term work in full detail, and leave later phases as high-level placeholders until you're close enough to plan them accurately. It saves you from re-planning work that changes before you get there, and it keeps your schedule honest about what you actually know right now versus what you're guessing at.
